The difference between a baby shower that photographs well and one that feels thrown together is usually about 12 small details. Here's the checklist we send hosts before every design consultation.

Four weeks out

Confirm the guest of honor's palette and any 'do not use' items (some parents-to-be avoid stork/bump imagery, some skip diaper games).

Book your venue or reserve the home space. Confirm parking.

Order or DIY your invitations with a clear RSVP date two weeks out.

Two weeks out — the decor list

One balloon focal moment: a small backdrop (5 ft) or garland over the food table.

One statement centerpiece for the gift table.

Coordinated linens, cake plate, and dessert stands (three heights minimum).

Signage: welcome sign, food labels, and a 'well wishes' card station.

Favors bagged and ready two days before, not the morning of.

Day-of timing that actually works

Setup: 2 hours before guests arrive. Food styling takes longer than you think.

Guest arrival window: 30 minutes.

Games / activities: 45 minutes.

Food and mingling: 60 minutes.

Gift opening (optional): 30 minutes.

Cake and send-off: 30 minutes. Total run time about 3 hours.
